WhatsApp Business Chatbot Development

A WhatsApp Business chatbot answers customers on the channel they already use, on the official WhatsApp Business API, with catalogue browsing, buttons, payment links and broadcast. For most Indian businesses it is the single highest-return AI project available.

Who it's for

Retail, real estate, clinics, education, D2C — anyone whose customers already message rather than email.

What changes

Reply in seconds on the channel your customers actually use.

Key takeaways

  • WhatsApp reaches everyone with your number, not just people already on your website.
  • Meta bills per 24-hour conversation window, not per message — so design for resolution, not brevity.
  • Requires a Meta Business verification and a number not currently on the consumer WhatsApp app.
  • Builds in 3–5 weeks from ₹45,000; conversation charges are billed by Meta at cost.
  • Handles Hindi, Marathi, Gujarati and code-mixed Hinglish, which is how customers actually write.

Why WhatsApp beats a website widget in India

A website chatbot can only talk to people who are on your website. A WhatsApp agent can talk to everyone who has ever saved your number, plus everyone who taps a click-to-WhatsApp button on an ad, plus everyone a customer forwards your number to.

There is also a behavioural difference that matters more than the reach. Indian customers who would never fill in a contact form will send a WhatsApp message without hesitating, and they expect a reply the way they would from a person — quickly, informally, and whenever they happened to think of it.

What the official API gives you that a scraper does not

There is a category of cheap "WhatsApp automation" built on unofficial libraries that drive the consumer app. It works until Meta bans the number, which it eventually does, usually at the worst possible moment. We only build on the official WhatsApp Business API.

The official platform also unlocks things the unofficial route cannot do:

  • Interactive buttons and list menus, which cut misunderstandings dramatically compared to free-text-only flows.
  • Product catalogue browsing inside the chat.
  • Message templates for anything you initiate, pre-approved by Meta.
  • Broadcast to opted-in customers without the 256-contact limit of the consumer app.
  • A green tick on verification, which measurably improves reply rates.
  • Payment links and order status inside the conversation.

How Meta actually bills you

This is the number nobody quotes and the one that decides whether the project works economically. Meta charges per 24-hour conversation window, not per message, and the rate depends on who started it and why.

Conversation typeWho starts itCost behaviour
ServiceThe customer messages youCheapest tier; a free allowance applies
UtilityYou, about an existing orderMid tier; requires an approved template
MarketingYou, promotionallyMost expensive; requires opt-in and a template
AuthenticationYou, for OTPSeparate rate

The design consequence is specific: a conversation that takes twelve messages to resolve costs exactly the same as one that takes three. Optimise for resolving the question inside the window, not for terseness. A bot that answers in four words and forces the customer to come back tomorrow costs you two windows instead of one.

Meta revises these rates. Before you commit we model your expected monthly cost at your actual volume, and we show the working rather than quoting a number.

Getting through Meta verification

Before a single message sends, you need a verified Meta Business account and an approved display name. This is where projects stall, and it is almost always a documents problem rather than a technical one.

You will need business registration matching the name you want displayed, a website that clearly belongs to that business, and a phone number you control. Display names that are generic, or that do not match the registered entity, get rejected. We handle the submission, but the documents have to be yours and they have to be consistent.

Budget one to two weeks for this in parallel with the build. Occasionally it is same-day; occasionally it takes three rounds.

Writing for how Indians actually message

Real WhatsApp messages are not clean sentences. They are code-mixed — Hinglish, Marathi typed in Roman script, English with Gujarati word order — full of abbreviations, voice notes and single-word replies.

A bot trained on tidy English fails on the first "kitna hoga bhai". We build language detection that handles Hindi, Marathi, Gujarati, Tamil, Telugu, Bengali and Kannada alongside English, and we specifically test against real transcripts from your own inbox rather than invented examples. Voice notes get transcribed and answered as text, which customers find slightly magical the first time.

What we hand over

A live agent on your verified number, template messages approved, catalogue connected if you have one, human handover to your team's phones, lead capture into your CRM, opt-in management for broadcast, and a dashboard of conversations, resolution rate and cost per conversation.

The cost dashboard matters. It is the only way to see whether a change to the flow made the bot cheaper or more expensive, and it is the first thing most suppliers leave out.

FAQ

WhatsApp Business Chatbot — your questions

Can we keep using our existing WhatsApp number?

Usually yes, but it has to be migrated off the consumer app, and during migration that number cannot receive messages for a few hours. If it is the number on your signage and vehicles, plan the switch for a quiet day and tell your staff. If it is a personal number that also gets family messages, get a new one — the API account is not a phone you can chat from.

How long does Meta verification take?

Between two days and three weeks, and it depends almost entirely on how cleanly your business documents match the display name you request. Registration certificate, website and requested name all pointing at the same entity usually clears in under a week. Mismatches cause rejections, and each round adds days.

Can the bot send promotional broadcasts?

Yes, to customers who have opted in, using pre-approved marketing templates. Meta charges the marketing rate for these and enforces opt-out. We build opt-in capture and honour opt-outs automatically, because ignoring them is how businesses get their quality rating downgraded and their sending limits cut.

What happens when someone wants a human?

The conversation transfers to your team with the full history, through a shared inbox on desktop or mobile. Your staff reply as the business number, so the customer sees one continuous conversation rather than a handoff. Outside working hours the bot books a callback slot instead of pretending someone is there.

Is a WhatsApp bot cheaper to run than a website bot?

No — it is more expensive per conversation, because Meta charges for the window on top of model usage. It is usually worth it anyway, because the conversations are with people who would not have used a website widget at all. We model both before you choose.
