The problem is not that reps are lazy
A field rep finishing their sixth visit of the day, standing outside a shop in the heat, is not going to open a CRM and complete eleven fields on a phone keyboard. They will do it that evening from memory, or on Friday for the whole week, or not at all.
The reports that do arrive are therefore late, thin and partly invented. Managers respond by adding mandatory fields, which makes the form longer, which makes compliance worse.
Thirty seconds of speaking is a different proposition. It happens while the visit is still fresh, it requires no typing, and it fits in the walk back to the bike.

Designing for genuinely bad conditions
Field apps fail on constraints that never appear in an office demo.
- No signal. Basements, godowns, industrial areas, rural routes. Everything must work offline and sync later, with a visible queue so the rep knows their work is safe.
- Noise. Roadside, factory floor, crowded shop. Recording quality varies enormously and the transcription has to cope with it.
- Battery. A rep on their eighth visit has 20% left. The app cannot be the thing that drains the last of it.
- Cheap phones. Assume 3GB of RAM and Android 10, not a flagship.
- Gloves, heat and one free hand. Large targets, few taps, nothing that needs precision.
Getting the account match right
The single most common failure in this build is misattribution. A rep says "Krishna Traders" and the CRM contains Krishna Traders, Krishna Trading Co and Shree Krishna Traders in three different territories. Filing the report against the wrong one is worse than not filing it.
We resolve this with three signals together: the spoken name, the rep's GPS position against known account locations, and their planned route for the day. When those agree, the match is silent. When they do not, the app asks with a two-option tap rather than guessing.
Feeding the account master into the transcription vocabulary also matters. Dealer names are proper nouns a general model has never seen, and without that list the transcript garbles the one word the whole report depends on.
What managers get out of it
The report is only half the value. Once visit data arrives daily and structured, patterns become visible that a weekly summary never showed.
Objections aggregate — if pricing on one SKU comes up in nineteen visits this month across four territories, that is a commercial signal, not nineteen individual conversations. Accounts that have not been visited in six weeks surface automatically. Follow-ups that were promised and not done appear on a list rather than being forgotten.
We build the manager view around these questions rather than around a table of reports, because a table of reports is what the CRM already does badly.
Rolling it out so it survives
We run this as a pilot with one team of eight to twelve reps for a month before any wider release. The pilot answers whether the transcription copes with your product vocabulary, whether the account matching holds up, and what the reps actually complain about.
The rollout that works pairs the app with removing something. If reps get the app and still have to complete the old form, adoption is zero and the objection is entirely reasonable. The old form has to go on day one.
We also expect to change the report structure after the pilot. What managers say they want and what turns out to be useful are rarely the same list, and it is cheaper to find that out with twelve people than with two hundred.

What if the rep speaks in Hindi or a mix?
That is the normal case and the app is built for it. Reps typically speak Hinglish — Hindi grammar with English product names and business terms. We use a multilingual model that is not told the language in advance, plus your product and dealer vocabulary loaded in. The report itself is generated in English for the CRM regardless of the language spoken, which is usually what managers want. Marathi, Gujarati and Tamil all work with somewhat lower transcription accuracy.
Does it replace our CRM?
No, it feeds it. The app is a capture layer that puts clean, structured, timely data into the CRM you already run. We have integrated with Zoho, Salesforce, LeadSquared and several custom systems. If your CRM has no API, the practical route is a scheduled import file, which works but delays the data by a few hours. Replacing the CRM is a separate and much larger project that we would not bundle into this one.
How do we know the rep actually visited?
GPS is captured at the moment of recording, so the report carries a location and timestamp. That confirms a visit happened where and when it was reported, which is a reasonable business control. We deliberately do not build continuous background tracking. It drains battery, it generates data nobody reviews, and it converts the app into surveillance in the reps' eyes — which, as covered above, is how these deployments fail.
Can it handle photos and documents from the visit?
Yes, and this is often where reps first see the benefit. Shelf photos, competitor displays, signed order forms and damaged stock all get attached to the right account automatically instead of sitting in a WhatsApp group. Where the photo is a document — an order form or a challan — we can run extraction on it too, so the order lands as data rather than an image someone has to type up later.
How long before we see whether it worked?
The compliance number moves within two to three weeks and is the first honest signal — if reps are not recording, nothing else matters. The commercial signals take longer: follow-up completion rates become meaningful at about six weeks, and objection patterns need a full quarter before they are worth acting on. We set up the measurement during the pilot so you are reading real numbers rather than deciding on impressions.
